Instantia is operated by Innovedge Labs Inc., a company federally incorporated in Canada and based in Ontario. If you have questions about this policy or your data, contact us at info@innovedgelabs.com.

We collect the information you provide to use the service: your account details (email and name), voice recordings (which are transient — deleted immediately after transcription and never stored), transcribed text, your conversations with AI, contacts and people you add, insights and knowledge entries, and reminders.

We also collect billing information (handled entirely by Stripe — we never see your card number), device information (push notification tokens and platform), and sanitized error logs to keep the service running smoothly.

We use your data to provide the Instantia service: to transcribe your voice via OpenAI Whisper, to generate AI responses, insights, and outreach drafts, to send push notification reminders, and to monitor errors. We never use your data to train AI models.

To provide the service, we share data with trusted third-party processors: OpenAI (transcription, embeddings, and chat), Anthropic (AI responses), Google (search and optional AI), Supabase (database and authentication), Stripe (payments), Expo (push notifications), and Sentry (error tracking — personally identifiable information is scrubbed).

Audio recordings are deleted immediately after transcription — we do not store voice data. All other data is retained for the duration of your account plus 30 days after deletion. Security logs are retained on a 90-day rolling basis.

You can request access to, correction of, or deletion of your personal data at any time by emailing info@innovedgelabs.com. We will respond within 30 days.

To request full account deletion, email info@innovedgelabs.com. All your data will be permanently deleted within 30 days of your request.

You may store information about people who are not Instantia users. You are responsible for ensuring you have a reasonable basis for storing this information. Non-users can contact info@innovedgelabs.com to request access to or deletion of their data.

We may introduce features that allow Instantia users to connect with each other. If enabled, certain profile information will only be visible to other users with your explicit action. We will update this policy before any such features launch.

Instantia is not intended for anyone under 16. We do not knowingly collect data from anyone under 16.

Your data is encrypted in transit (TLS) and at rest. Row-level security isolates each user's data at the database level, ensuring no user can access another's information.

We will notify you of material changes to this policy at least 30 days before they take effect, via email or in-app notification.
